There is a function to create credit invoices in the invoicing module.
To create a credit invoice, do the following:
Go to Invoicing - Report.
Select Invoice Report in the sub menu. Use one or more of the search options to find the invoice to be credited. Then click "Ok" button to start the search.
When you have found the invoice, select the invoice by marking the check box in the column "Internal invoice number" and then click on the button “Credit Invoices”.
A selection dialog appears with the question: “Credit Invoices?” YES - This means that a credit invoice is created and a new dialog with the question: "Create new invoices for the current project report?". YES - A new invoice with associated project report is created and placed in the invoice tab. NO - Only the credit invoice is created and added to the invoice tab. CANCEL - Neither credit invoice nor new documentation is created. NO - No credit invoices are created. X - Close the dialog if you change your mind. No credit invoice is created.
In this example, we choose to answer YES / YES to the question. Two new invoices are available to work with under the “Invoice tab”. The credit invoice “turns” everything on the invoice to be credited. Hours that are credited get a minus sign in front and the same applies to kilometers or pieces.
In addition to the credit invoice, there is a new invoice to work on. At this stage, it looks exactly like the original invoice that was credited. However, it is now possible to arrange the invoice as you want it to be. Below are some examples of errors to be corrected on the new invoice and suggestions for solutions. If you prefer to read about partial crediting, you can skip to the next heading.
Reverse the project report to the "Project report tab". There you select "pending" on the rows with the wrong price per hour.
Correct the error in the price list and go back to the project report and select to invoice the hours.
Reverse the project report to the "Project report tab".
There are several options for rows not to be included on the invoice. If you do not want the rows to be visible or invoiced, set the rows to "Hide" they are then not included in the project report or invoice - the customer simply no longer sees them and they are not included in the invoiced amount. You can also choose to set them to "Free" instead - customers will then see the "free hours" both in the project report and in the invoice. NOTE! If you want to "save" hours (or other transactions) for later, you should select the option "Pend". They will then remain uninvoiced until further notice and can be included in a later invoice.
Something is missing on the invoice (you forgot to add a manual line):
Reverse the project report to the “Project report tab”.
Add what is missing by selecting the type on the far right, time, item, etc. What is shown may differ from the image depending on what is activated in your system. Fill in the information for the selected row that is created. Do not forget to save.
Wrong customer is connected to on the invoice:
Reverse the project report to the “Project report tab”.
Delete the invoice.
Go to the project report and set all rows to the option "Pend".
Delete the project report.
Go to the project card in the administration. Delete the wrong customer from the project and select the correct customer instead.
Go back to the Invoicing module and the “Project report tab”. Create a new project report for the project - now the new customer will be connected to the project report. Lock the project report and go further to the “Invoice tab” when the project report is ready.
If you choose to partially credit an invoice with the credit function, you need to adjust the project report when it ends up on the "Invoice tab". There you click on the pen and change from "To Invoice" to "Unlock" and click on "Save". The project report can now be found on the "Project report tab". Click once again on the pencil in the "project report tab". You now can customize your partial credit. NOTE! The partial credit project report should only consists of the rows you want to have on your credit invoice.
When you are satisfied, lock the project report again. Go to the "Invoice tab" click on the pencil of the credit invoice and set the project report "To invoice" instead of "Pend" and click on "Lock invoice". Then go to the "Accounting tab" and continue with the invoicing process.
