Create subscription report

The first step in the process of invoicing a subscription is to create a Subscription Report. In the tab Invoicing - Subscriptions, all subscriptions are listed. The projects shown in your list are those you are project leader of and those having subscription time to invoice (all subscriptions where there are 15*) days or less left until the submission date).

To create a subscription report, go to the Subscriptions tab and click on the plus sign next to the subscription for which you want to create a subscription report.

The subscription report view opens and the amounts entered comes from the data entered in pricelist of the project in the section "Subscription". Make any changes or add notes. Mark the check box for “Show note on invoice” if desired. Click on Save (diskette) at the bottom right. Then click on Lock report (padlock) to approve the report.

Quickly create subscription reports

If you do not need to make any adjustments to your subscription reports and have many subscriptions to be invoiced in the same period, you can choose to lock several subscription reports at the same time. You filter the ones concerned by selecting the days within which the subscription should be invoiced. You can select a maximum of 30 days ahead. Proceed as follows:

Filter out the subscriptions to be invoiced. Even if you choose to show all invoices, only those that match your selection will be selected.

Select the subscriptions you want to lock by marking the checkbox on the far left. Click on the "Quick create" button. The subscriptions will then end up on the "Invoice tab". You can now choose to link the subscription to an invoice (read more about this in the section "Invoicing Subscriptions" below).

Invoicing subscriptions

Once you have completed the "subscription report" steps above, you can go to the "Invoice tab" and create an invoice. Select the "Invoice" tab and click on the plus sign next to the project you want to create an invoice for. The subscription reports are listed under the heading "Project list". Select how you want to group the invoice (NOTE! most financial systems require that Article is included in the invoice grouping).

Click in To invoice on the reports you want to include. Then save by clicking on the diskette at the top right (or bottom right). The invoice lines are now listed. Click on the padlock to approve the invoice.

If there are times reported on the project with the subscription, you can create a project report for the times, just like a normal project, and then invoice the project report and the subscription report together on the same invoice.
