Users whoâs schedule deviates from the information in the calendar (for example, part time employees) are suitable for schedules. You handle schedules under Administration â Users â Schedule.
For whom the schedule is for. You can only create a schedule for one person at a time, but it is easy to copy it if you need to reuse it.
When it is for:
If you know the end date, enter the date for both the start and end
If you want it to work for the time being, just enter the start date
Add, if you want, a comment to tell what the schedule is for. The comment is visible in the list of schedules.
Now itâs time to start creating the Schedule. Before this it has the same content as the calendar connected to the user. There are two ways to adjust the times: Percent and Hours. Read more about the different alternatives below.
Should the employee have the time equally distributed on each workday? Then it is easy to add the worktime in percent. For example, if you enter that they work 80% the system will automatically calculate this for each day based on the calendar. Applies to any half days added to the calendar. Do not forget to save.
Allows you to enter how much the person will work each day of the week. Here there is also a function for several weeks with differing workhours. The alternatives allows you to easily have unscheduled days or days with different work hours. If you have half days or other days that differs from ânormal daysâ these must be changed manually.
If you have half days you have to add these manually for the person whos schedule this is. This is done at the top of the view. If you have varying workhours for different week days, you may also have to changes it on the specifik day. You can do this after saving the scheduale for the first time.
If the number of hours change over time, for example If you go from 50% to 80%, you can easily change this without effecting the previous days. Start by opening the personâs existing schedule and adding an end date. Do not forget to save.
Then create a new schedule that starts the day after the end date you just added to the previous schedule. Enter the new work hours and save. The new schedule will now automatically replace the old when you reach the end date, without affecting the previous days. That means that the times will stay correct even if you unlock earlier time registrations.
A schedule can only be deleted before the users register time on it. After that you have to enter an end date to be able to return the users work times to that of the calendar.
Remember to add an end time to the schedule before creating a new one. It is not possible to have more than one schedule on a person at a time.
For people hired on hours may be suited to an 0-schedule. Another option is to create a separate calendar for this and add it to the affected users.
To create a new schedule, click onCreate schedule. Then add the basic information:
Click on the day to enter the work time. For days where the person will not work, enter 0 hours. If any days should follow the information in the calendar leave the field as it is. If you have added something already you can easily delete it to return to the original calendar time. To restore all days, press the .
Smaller adjustments, like adding an half day, can be made in the existing schedule by clicking on the pen .
