Phases are possible to further break down a project. Activities are selected for each phase. The phases added to the system should have generic phase names that are reusable. It is optional to select phases for an individual project, but it is not possible to rename phase names for the individual project.

Phases can be useful when the project and resource planning module is used. Then planning can be done for each phase of a project. Read more about the project and resource planning module in the section about it.

NOTE! Phases can be used even without the project and resource planning module. However, the tab for adding new phases may not be available in your system. Please contact Milient Software support for assistance in activating the tab if it is missing.

Create new phase

To add a new phase, follow these steps:

  1. Go to Administration - Settings - Project - Phase.

  2. Click on Create phase.

  3. Give the phase a name and possibly a sequence number. The sequence number allows you to control the order in which the phases are presented in the timesheet view. If there is no sequence number, the phases are presented in alphabetical order.

  4. Save.

Change or deactivate phases

It is possible to rename a phase. This means that all projects with the particular phase are affected by the name change. The name change is made by clicking the pencil at the current phase on the tab Administration - Settings - Project - Phase.

Disabling a phase means that the phase cannot be selected in the future. Projects with the phase selected will continue to have the phase even after it has been deactivated under Administration - Settings - Project - Phase. To deactivate a phase, click the pencil next to the phase you want to deactivate and check the “Disabled” checkbox.

Create a project with phases

When creating a new project, you can select phases to the project. Phases are added by clicking “Add phase” in the Phases & Activities section of the project card (Administration - Project).

Select a phase you like to add to your project.

Select the activities you like to use in the current phase and then click on “Add phase” to add the next phase and select activities in it, etc.

Time reporting in projects with phases

In time reporting, the time reporter selects the phase and then the activity to report time.

Using phases is a good option when the project consists of a lot of activities.

Good to know about phases

  • The same phase can only occur once in each project.

  • An activity is possible to add to several of the phases in a project.

  • A phase becomes a phase in a project as soon as you add activities to the phase in the project card.

  • In a project without phases, there is still a phase. It is called 'Default'.

  • Project and resource planning can be made per phase.

  • It is not possible to set prices per phase. The pricelist is selected for the project and prices can be set per activity and/or user.

  • It is not possible to rename a phase for an individual project.

  • Project members belong to the project and thus to all phases of the project.

  • It is possible to include the phase in the invoice grouping so that the phase name is visible on the invoice.

  • The phase tab in the administration can be disabled. Please contact Milient Software's support activate it.
