The calendar is used to let users know in the time registration view which days they should work and how many hours. The information entered here is used by default for all users linked to the selected calendar. If you want to specify different working hours for an individual, use the Schedule function instead.
You can find calendars under Administration - User - Calendar. Then select the calendar to be edited or updated.
By default, the system suggests 8 hours of working time on weekdays and 0 hours of working time on weekends. You adjust the default working hours in the Working hours/Weekdays field, but you can also adjust the hours for an individual day directly on the day. Change the number of working hours to 0 on the days that are not working days and mark whether the day should be red in the calendar b. If you have half-days, first enter the standard time for half-days in the field Working hours for half-days. Then you can mark the days concerned with this icon . Save and continue in the same way with the remaining months of the year, according to your rules. You only need to enter the months with different days.
You can also choose to subscribe to public holidays. The system will then automatically mark holidays as red and enter 0 hours as working time. To start subscribing, select what you want to subscribe to in the drop-down list at the top. At present, you can only subscribe to Swedish holidays.
Examples of common adjustments in the calendar:
If the company has days that deviate from the standard working hours
Public holiday that falls on a weekday (if you do not subscribe to public holidays)
If you have shorter working hours than a normal day, day before a public holiday
Days between holidays are counted as days off
To keep adjustments, click Save. Until you have saved, you also have the option of cancelling the adjustments you have made by clicking on Cancel at the bottom right.
The adjustments you make to the calendar will be displayed in the time registration view for time recorders. Applies to all users linked to the current calendar, except for those on a schedule (e.g. people working part-time). A rolled-out schedule always applies before the calendar data. If you need to schedule users, you can read more under the section Schedule below.
If you have created a calendar you no longer need, you cannot delete it - but you can deactivate it. Go to the calendar click on Disabled at the top right. Deactivated calendars are hidden in the list but can be shown by selecting the Show inactive option in the list view.
A company may need several calendars - for example, when you have operations in different countries (and therefore different public holidays in the different countries). In this case, create the calendars needed and make sure to select the correct calendar for each user that is added under Administration - Users - Calendar.
