Deactivate and reactivate users

A user who will no longer register time in the system can be deactivated. Deactivation means, among other things, that the user can no longer log in to the system, does not appear in the âApproval viewâ and is not available as a selection when creating project reports, etc. If there exists unbilled records in the invoicing module on the user, these will remain even after the user has been deactivated. However, payroll needs to be run before deactivating the user.
To deactivate a user:
Go to Administration - Users and select the submenu Users
Click on the pen or double-click on the row for the user you want to deactivate
Click on Inactivate up in the top right corner of the user card - the colour of it will turn to gray from white.
To reactivate a deactivated user:
Go to Administration - Users and select the submenu Users
Select "Show inactive" in the list and find the user
Click on the pen or double-click on the line of the user you want to activate
Click on Inactivate up in the top right corner of the user card - the colour of it will turn to white from gray.
Please note that after reactivating a user, a manual adjustment of the flex balance may be needed (if the user has flex rights). Please refer to the Approrval View tutorial on how to do this.
NOTE! In order to reactivate a user, you need to have a free licence. The number of used and free user licences is displayed next to the user list. Click on the tab to expand the information. Only active users are counted as used licences. Therefore, when a user no longer needs their licence (e.g. if someone is on parental leave), you can deactivate them and use the licence for a new user.
