The Hours report under Project management only shows hours for the projects you are a project owner on. This report is intended to give a good overview of all hours worked on the projects you are responsible for, and make it easy for you to approve hours.

To approve hours using the hours report, mark the hours you want to approve and click the status-header. Choose Approved.

As with all other reports you can use the filter on the right side to create the perfect report for you. A good tip when approving hours would be to group the hours togheter, for example by project and person

Doing this makes it easy to mark several hours as a group for approval/return for correction

Hours Report user Guide: Income report

The Hours report in Moment can be modified to display different types of data. The Hours Report can also be turned into a list that displays the total income accrued, including both invoiced and non-invoiced hours. This guide will help you understand how to use and customize the Hours Report to suit your needs.

Overview

An Income Report provides insights into the financial performance of projects by displaying detailed data on hours worked, billable hours, and income generated. Users can create customized variants of this report by adding or removing columns and choosing different values to display specific types of data.

Creating an Income Report

Be aware that clicking on the option "Show Totals Only" will make Moment sum up the totals for each grouping in the report. This will drastically reduce the amount of time the report uses to load when using large data selections.

  1. Navigate to the Hours Report:

    • Go to the "Company" section in the main menu.

    • Select "Hours Report" from the dropdown menu.

  2. Filter Settings:

    • Use the filters on the right to narrow down the data. For instance, you can filter by:

      • Invoice/Approval Status (e.g., Not approved yet, Approved)

      • Billable Hours (Yes/No)

    • The changes to the data should be applied immediately to the selection.

Customizing the Income Report

  1. Column Selection:

    • Customize the columns to display relevant data such as:

      • Date

      • Person

      • Project

      • Activity

      • Hours Worked

      • Billable Hours

      • Income

  1. Adding/Removing Columns:

    • Click on the column names to add or remove columns as needed.

    • Select the desired columns to tailor the report to your specific requirements.

Understanding the Report

  • Date: The date the hours were recorded.

  • Person: The individual who logged the hours.

  • Project: The name of the project associated with the hours.

  • Activity: The specific activity performed during the logged hours.

  • Hours Worked: The total hours worked.

  • Billable Hours: The hours that are billable to the client.

  • Income: The income generated from the billable hours. In this case it is the hourly rate X the amount of billable hours.

Customizing Data Views

  1. Filtering by Project:

    • You can filter the report to show data for specific projects by selecting the project name from the filter options.

  2. Sorting Data:

    • Click on "sort" option on the right hand filter to decide how you want the report to sort the data

  3. Detailed View:

    • Expand entries to view more detailed information about each time record (unless "show totals only" is chosen)

Exporting the Report

  1. Export to Excel:

    • Click the export button to download the report in Excel format.

    • Use pivot tables in Excel for further analysis and visualization of the data.

  2. Business Intelligence Tools:

    • Integrate the report with our system's business intelligence tools for graphical representations and deeper insights into trends and patterns.

Best Practices

  • Regularly update and customize the Income Report to reflect current project statuses and financial data.

  • Use filters and column customization to tailor the report to your specific needs, ensuring you capture the most relevant information.

Other types of data that the hours report can display

The Hours Report in Moment is a powerful tool that can generate a variety of reports based on how you configure the "Grouping" filter. Here’s a guide to help you make the most of it.

Step-by-Step Instructions:

  1. Select the Hours Report:

    • Go to the Hours Report section in Moment under "Company > Hours Report"

  2. Configure Grouping Filters:

    • In the Grouping filter, first select "customer".

    • Then, add a second grouping for "project".

  3. Show Totals Only:

    • Check the option for "totals only". This setting will display the total hours worked for each customer and their projects, along with the total value of these hours.

Example Report

In the example above, we created a report grouped by customer and project. By selecting "totals only," the report shows the total hours worked and their value for each customer and their associated projects.

Additional Options

Depending on the status of the hours you select in the filter, you can choose to display:

  • Invoiced Hours: Show the value of hours that have already been invoiced.

  • Hours to be Invoiced: Show the value of hours that are yet to be invoiced.

These options allow you to display either the expected income per customer or the value of the hours already produced, giving you a comprehensive view of your project’s financials.

Identifying specific hours records connected to invoices

Scenario: Jane, a project manager at a consulting firm, needs to ensure that all billable hours for a recent project have been invoiced correctly. She has received a query from a client regarding a particular time record, and she needs to verify whether it has been invoiced and to which invoice it belongs.

Steps to achieve this using the Hours Report in Moment:

  1. Navigate to the Hours Report:

    • Go to the main menu and click on "Hours Report".

  2. Create the Selection:

    • Choose the Project: On the right-hand filter, select the specific project you are interested in.

    • Select the Date Range: Use the date picker to choose the time interval to which the time record belongs.

    • Group by Activity and Person: To get detailed insights, group the report by "Activity" and "Person".

  3. Avoid "Show Totals Only":

    • Do not select "Show Totals Only" as we need to see the status of each specific time record.

  4. Remove Unnecessary Columns:

    • Clean up the report by removing any columns that are not useful for this specific task. This will make the report easier to read and less cluttered.

  5. Select "Invoice No" Column:

    • On the right-hand filter, select the column called "Invoice no". The changes will be applied automatically, and you will see to which invoice each record applies.

  6. Show All Statuses:

    • Ensure the hours status is set to display all statuses. This is important because Moment allows for changing the status of already invoiced time records, so we want to cover all options.

The Final result should be something like this:

The report contains also hyperlinks to the specific Invoices. If you have enough access rights you can then see the exact PDF the customer received, along with the hours list the customer received.

Why Show All Statuses?

Showing all statuses is crucial because it ensures you capture every possibility, including records that might have had their statuses changed even after being invoiced. Moment's flexibility in changing the status of time records means that you need to consider all potential statuses to get a complete picture.

Additional Information

Whenever a set of hour records has been used to create a draft invoice, Moment will automatically change the status of these hours to "invoiced," and the color of the status symbol for these will be changed to dark green. In the example described above, instead of having an invoice number, you will see "draft" in the column.
