Uniconta

Uniconta is a Danish accounting system. Moment support a basic integration with this system.

What data can be transferred with this integration?

When a customer is created in Moment, it will be immediately transferred to Uniconta. Any changes on a customer will also trigger a transfer from Moment to Uniconta.

Requires a tag group in Moment for customer groups used in Uniconta.

Fields included: customer name, customer number, organization number, email, website, address fields, phone number, fax number, customer group, currency code and country code.

When creating a new project, it will automatically be transferred into Uniconta. Any changes on a project will also trigger a transfer from Moment to Uniconta.

Fields included: project name, project number, customer number, project state, start date and end date.

Expenses created in Uniconta will be retrieved multiple times during the day. Only expenses that are linked to a project which exists in Moment will be imported.

Fields: Title, description, expense date, quantity, amount, currency, voucher number, supplier name, supplier number.

When an invoice is finalized in Moment, it will be immediately transferred to Uniconta. Each invoice will be used to create an order with order lines. Afterwards this will be used to create the invoice. Invoice number will be the same as in Moment*.

Fields included in the invoice: invoice number, description, customer number, project number, invoice date, due date, payment id (kid or invoice number). All invoice lines will be attached to a product type (hours, expenses, products) with matching financial accounts in both systems. One invoice line may contain item text, quantity, total amount excluding vat, vat code.

*Requires that invoice number series in Uniconta is synced with Moment invoice number series.

Important to know

Moment = master. This means that the invoice number, customer number and project number will be transferred into Uniconta. Do not change the numbers in Uniconta.

Make sure your account numbers and vat codes are the same in Moment and Uniconta.

  • Customers: Customers require a tag group that will be used for customer groups in Uniconta.

    • Customers group. Create a tag group in Moment with the same customer groups that are used in Uniconta and select this tag group during configuration. Note! Code is required, this is the value used in Uniconta. Configure the tag group to require exactly one tag. These are the groups defined under "Customer > Maintenance > Customer groups" in Uniconta.

  • Projects:

    • Project category: Invoice lines requires to be linked with a project category. This requires a tag group for projects where these can be registered. Configure the tag group to require exactly one tag. This can be found under "Project > Maintenance > Project category".

      • Create tags for those project categories that will be needed in Moment.

  • Invoices:

    • Invoice numbers. *NOTE! Uniconta does not allow for defining invoice number from external system. To circumvent that, the way to configure Uniconta is as follows.

      • Configure a number series that can be used for invoices. Use one of the existing ones, or create your own. Define a first number and last number, but most importantly the next number. This "Next number" must be the same as "Next invoice number" in Moment. This can be found under "General Ledger > Maintenance > Voucher number series"

      • To use this configured number series, configure Number sequences for customer to use Invoice number = Voucher and select the series defined earlier for invoice numbers. This can be found under "Customer > Maintenance > Number sequences"

    • Credit days. Moment will use 0 days when credit note is created. To allow for this, add 0 as an valid option under "Terms of payment". Configured other fields according to correct setup in Uniconta. This can be found under "General Ledger > Maintenance > Terms of payment"

One-time configuration

To enable then Uniconta integration add this to your Moment instance.

Navigate to the the integrations page under Setup > Settings. At the top right of the , click on +New integration button. A dialog will be appearing, in the selection box search for "Uniconta". Select this from the list.

The configuration dialog expands to show the options to be configured.

Credentials

The first four fields are required and are used to connect to Business Central.

  • User name: Register the usernameof the Uniconta user that will be used to access the data, this user must be a server user.

  • Password: Register the password for the user.

  • Company: Click the "Fetch companies" button to get a list of companies the registered user have access to - select the correct company for this integration.

  • Department: If department is being used in Uniconta, select the dimension for this. By default department is not activated.

    Department in Uniconta are those registered as dimensions. This is found under "General Ledger > Maintenance > Dimensions". Check what dimension is used for departments here.

Data transfer

  • Export customers: When selecting to export customers, also select the tag group to be used for customer group in Uniconta.

  • Export projects When selecting to export projects, there can appear an option to link these to department. This depends on the configuration of department above.

    If department dimension has been defined, these options are available:

    • Do not include department

    • Use department from project

    • Use project tag group

  • Export Invoices When selecting to export invoices, there can appear an option to link these to department. This depends on the configuration of department above.

    If department dimension has been defined, these options are available:

    • Do not include department

    • Use department from invoice

    • Use invoice tag group

    • Use department from project

    • Use project tag group

    In addition to the department option, there is a need to select tag group to be used for project category.

  • Import Expenses Moment will import expenses from Uniconta based on the configuration done here. By selecting the number series to use and if specify exact accounts you will get exactly what should be imported. Note that not using account filter will import all accounts in the selected number serie. When selecting to import expenses there are a few fields to fill out/configured.

    • Expense activity Register the name to be used for activities where expenses will be imported. This activity will be created automatically in a project where there is expenses to be imported.

    • Billability Decide if imported expenses shall be billable or not when imported.

    • Start date Any expenses posted after defined date will be imported. This date will be updated after every time it's executed. Can be changed if needed.

    • Number Series Select the number series used in Uniconta for expenses.

    • Account Filter Register a comma separated list of accounts to be included in the import of data. If all accounts shall be imported, leave this blank.

Generic

  • Users to notify In the event of something occurs that is logged, this can also be notified the users in the database. Select one/multiple recipients of these notifications.

  • Emails to notify If there are users that are not registered as resource in the company, add their email address here. And they also will receive an email with notification.

  • Notes Write any notes that should be stored with the integration

Upon completion of filling out the form and clicking the save button will execute a verification of the credentials, if for some reason these are not valid the save of integrations configuration fails.
